Job title: Secretary, Faculty of Engineering

Job Brief:
- The Secretary, Faculty of Engineering is responsible for providing administrative and clerical support to ensure the smooth operation of the Faculty of Engineering. This role includes managing communications, maintaining records, coordinating faculty activities, and assisting in the delivery of academic services. The Secretary acts as a liaison between the Faculty of Engineering and other departments, students, and external stakeholders.
Duties and Responsibilities:
- Administrative Support:
- Handle faculty communications, including emails, phone calls, and correspondence.
- Prepare official documents, reports, and memos as directed by the Dean of the faculty.
- Maintain organized filing systems for records, including faculty schedules, meeting minutes, and correspondence.
- Faculty Coordination:
- Schedule and coordinate faculty meetings, workshops, and seminars.
- Prepare and distribute meeting agendas, take minutes, and follow up on action points.
- Assist faculty members with administrative tasks related to teaching, research, and outreach activities.
- Academic Support:
- Organize and manage class schedules, timetables, and exam rosters.
- Support the preparation of teaching materials, such as handouts, syllabi, and presentations.
- Ensure accurate and timely submission of grades and academic reports.
- Student Interaction and Assistance:
- Serve as the first point of contact for students seeking assistance from the Faculty of Engineering.
- Provide guidance on faculty-specific processes, such as enrollment and course selection.
- Assist in resolving student inquiries or redirect them to the appropriate faculty or department.
- Communication and Liaison:
- Act as a liaison between the Faculty of Engineering and other university departments.
- Ensure clear and timely communication of faculty announcements and updates.
- Office Management:
- Ensure that the Faculty of Engineering office is well-maintained, stocked with supplies, and operates efficiently.
- Monitor and manage office equipment, reporting any technical issues or maintenance needs to the campus Director.
Requirements:
Educational Qualifications:
- A Bachelor’s degree in Faculty of Engineering.
Skills and Competencies:
- Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
- Excellent with Excel Skills
- Ability to work well under pressure, especially during busy periods.
- Good problem-solving skills, with the ability to manage unexpected issues as they arise.
