Job Brief:
- The Secretary, Admission Office provides critical administrative support to the Admission Office, ensuring efficient handling of all admission-related communications and processes. This role involves managing application records, coordinating schedules, and assisting prospective and current students with admission inquiries. The Secretary acts as the primary point of contact for the office, contributing to a smooth and welcoming experience for applicants, students, and other stakeholders.
Duties and Responsibilities:
- Administrative Support:
- Handle incoming and outgoing correspondence, including phone calls, emails, and letters related to admissions.
- Prepare and organize documents such as admission forms, acceptance letters, and reports.
- Maintain accurate and up-to-date records of applicant and student files.
- Application Management:
- Assist with receiving, organizing, and processing student applications.
- Ensure that application data is accurately entered into the university’s system.
- Coordinate with the IT team to resolve any issues with the online application portal.
- Communication and Customer Service:
- Serve as the first point of contact for prospective students and parents, addressing inquiries promptly and professionally.
- Provide information on admission requirements, application deadlines, and program offerings.
- Assist in communicating admission decisions to applicants.
- Scheduling and Coordination:
- Schedule orientation sessions for prospective students.
- Coordinate with other university departments to ensure smooth enrollment for accepted students.
- Manage the calendar and appointments for the Director of Admission Office.
- Event Support:
- Assist in organizing admission-related events such as open days, orientation programs, and recruitment fairs.
- Prepare materials and presentations for such events as required.
- Compliance and Reporting:
- Ensure all admissions procedures adhere to university policies and standards.
- Generate reports and provide updates on admission statistics and processes for leadership.
Requirements:
Educational Qualifications:
- A Bachelor’s degree in any field is accepted.
Skills and Competencies:
- Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
- Excellent with Excel Skills
- Ability to work well under pressure, especially during busy periods.
- Good problem-solving skills, with the ability to manage unexpected issues as they arise.
